4. Content. By uploading photos, videos, or other content to this portal, you grant Shift4 a non-exclusive, royalty-free, worldwide license to use, reproduce, and display that content in connection with internal Shift4 communications, events, and marketing materials.

5. Intellectual Property. All content, features, and functionality of this portal are owned by Shift4 and are protected by applicable intellectual property laws.

Privacy Policy

1. Information We Collect. We collect information you provide directly including your name, work email, phone number, job title, department, dietary restrictions, travel dates, and emergency contact. We also collect IP addresses, browser type, and pages visited.

2. How We Use Your Information. We use your information to manage event registration, communicate about the event, plan logistics, generate your QR check-in badge, and comply with venue requirements including sharing required information with Walt Disney World for group access to Epcot.

3. Communication Preferences. By providing your phone number and selecting SMS or WhatsApp, you consent to receive event-related messages at that number. Message and data rates may apply.

4. Photo and Video. If you consent to photo and video coverage, images in which you appear may be used in internal Shift4 communications and marketing materials.

5. Sharing of Information. We do not sell your personal information. We may share with event venues, third-party service providers, Walt Disney World (as required), and law enforcement where required by law.

6. International Transfers. Your information may be transferred to and processed in the United States. For individuals in the EEA, UK, and Switzerland, this transfer is made under appropriate safeguards consistent with the GDPR and UK GDPR.

7. Your Rights (GDPR & International). Subject to applicable law, you have the right to: (a) access the personal data we hold about you; (b) request rectification of inaccurate data; (c) request erasure of your data; (d) data portability (receive your data in a machine-readable format); and (e) withdraw consent at any time for processing based on consent. You can download a copy of your data and manage your consents at any time from the Privacy & Your Data page in the portal. To request erasure or exercise other rights, contact privacy@shift4.com; we respond within one month. Because this is an internal events system, erasure anonymizes your personal data while retaining anonymized attendance and consent records required for legal and audit purposes. You may also lodge a complaint with your local data-protection authority.

8. Data Retention. We retain your information for the duration of the event plus one year for administrative and legal purposes, unless a longer period is required by law. Upon an erasure request, identifying fields are anonymized sooner.

9. Security. We implement reasonable technical and organizational measures to protect your information.

10. Cookies. This portal uses a single strictly-necessary session cookie for authentication. Under the GDPR ePrivacy rules, strictly-necessary cookies do not require consent. We use no third-party advertising, analytics, or tracking cookies, so no cookie banner is shown.
